Cancellation Policy
1. Reservation and Deposit All venue bookings require a 50% non-refundable deposit to secure the event date and any additional services. The deposit must be paid at the time of booking. The remaining balance is due no later than 14 days prior to your event date. 2. Payments Full payment must be received at least 14 days prior to your event. Failure to pay in full by this deadline may result in the cancellation of your booking without a refund of the deposit. Payments can be made via the methods provided on our invoice. 3. Cancellation Policy The 50% deposit is non-refundable. In the event of a cancellation, the deposit will be forfeited. Cancellations made within 14 days of the event date will result in a forfeiture of the full payment. 4. Security Requirement for Events (Under 25) For events primarily attended by guests aged under 25, security is mandatory. We work with a third-party contractor for security services at a rate of $300 for the duration of the event. This charge will be added to your invoice. The Vault Experience reserves the right to require security at any event, depending on the size or nature of the event. 5. Event Timing and Access Event time includes setup and breakdown. Additional fees may apply for early access or extended hours. All events must conclude by the agreed end time. Overtime fees may apply if the event exceeds the scheduled end time. 6. Damages and Liability The client is responsible for any damages caused to the venue, equipment, or property during the event. A damage deposit may be required depending on the nature of the event. This deposit will be refunded within 14 business days after the event if no damages occur. 7. Insurance Event liability insurance may be required for certain events. If required, the client must provide proof of insurance at least 7 days before the event. 8. Outside Vendors All outside vendors must be pre-approved by The Vault Experience. We reserve the right to refuse certain vendors if they do not meet our standards. 9. Alcohol and Catering Alcoholic beverages must be served by a licensed and insured vendor. Clients may select from our preferred catering list or use their own vendor, provided they meet our venue’s requirements. By submitting your deposit, you confirm that you have read and agree to The Vault Experience's terms and conditions.
